We would like to bring to your attention an issue concerning the Electronic Verification System – HHAExchange. There are occasional instances when this system might experience downtime and may not be available for users to clock in or clock out.

In these scenarios, it’s crucial to remember that there exists a protocol to follow to ensure that your attendance and working hours are accurately recorded. Please note that the HHAExchange downtime form is designed solely for these specific circumstances when the system is indeed offline.

It is important to underscore that reporting false clock-in or clock-out times, or dishonestly claiming a system outage when none exists, is a severe violation of our company policies and ethics. Such actions are not only a breach of trust but also a fraudulent activity that could carry legal implications.

Falsifying time and attendance records, under any circumstances, could potentially result in disciplinary action, up to and including termination of employment. Moreover, please be aware that in certain jurisdictions, knowingly falsifying time records is considered a criminal offense, which could lead to prosecution and jail time.

This matter is of great importance as it pertains not only to the integrity of our time-keeping systems but also to the honesty and trustworthiness of our workforce. As caregivers, we serve a vulnerable population that relies on us for their everyday needs. Our conduct must always reflect the highest degree of integrity and professionalism.

Please remember that all of us are responsible for ensuring accurate record-keeping. In case you are unable to clock-in or clock-out due to a genuine system downtime, promptly inform your supervisor and complete the HHAExchange downtime form as accurately as possible.
